Agency Familiarisation Retreat
1. The Overview.
Peckforton Castle tasked Let’s Grow with creating a high-impact agency familiarisation trip in March, designed to showcase the venue to a targeted audience of senior event buyers.
The objective was to position the Castle as a leading choice for corporate events, retreats and private experiences, while building meaningful relationships with agencies and decision-makers across London, Manchester and Cheshire.
2. The challenge.
Peckforton Castle offers a distinctive product, but like many premium venues, the challenge lies in getting the right people through the door.
The brief required more than a traditional show round. The experience needed to:
- Attract a high-quality audience of senior event buyers
- Demonstrate the breadth of the venue in a way that felt immersive and memorable
- Create genuine opportunities for conversation and relationship-building
- Reflect the standard and versatility of the Castle across both day and evening experiences
The success of the event would be measured not just by attendance, but by the strength of connections and future commercial opportunities generated.
3. Our approach.
We approached this as a targeted business development exercise, designed to position Peckforton Castle in front of a highly relevant audience of senior event buyers.
The first priority was audience curation. We developed a focused guest list of agency contacts and decision-makers across London, Manchester and Cheshire, ensuring strong alignment with the Castle’s ideal client profile and prioritising quality over volume.
Alongside this, we placed significant emphasis on the invitation strategy. We created a considered, visually engaging invitation that positioned the event as a premium, limited-access experience. This not only drove strong engagement from invitees, but also generated early conversations and enquiries from contacts interested in the venue before the event had even taken place.
From there, we designed a 24-hour programme that allowed guests to experience the venue in a natural and engaging way. The structure balanced curated moments with informal time, ensuring the Castle’s spaces, activities and hospitality could be experienced in a way that supported genuine relationship-building and commercial opportunity.
4. The solution.
- Curated a targeted guest list of senior event buyers and agency contacts across London, Manchester and Cheshire, aligned to Peckforton Castle’s ideal client profile.
- Created a strong first impression at check-in through curated welcome packs, handed to guests on arrival to set the tone for the experience.
- Designed and delivered a 24-hour familiarisation programme to showcase the venue through a fully immersive, lived experience rather than a traditional show round.
- Structured the itinerary to balance hosted moments with informal networking, allowing relationships to develop naturally throughout the stay.
- Showcased the breadth of the venue through a combination of guided tours, outdoor experiences and evening hospitality.
- Delivered interactive activities including laser clay shooting and the Land Rover Experience to encourage participation and guest engagement.
- Created a standout drinks reception featuring a live violin performance from Matt Glossop to demonstrate high-impact event potential.
- Produced a four-course private dining experience to highlight the venue’s food, service and suitability for premium events.
- Managed end-to-end logistics and supplier coordination, working with Event Equipment, Event Station, Land Rover Experience and Bloomsbury Event Group.
- Ensured a seamless guest journey from arrival through to departure, in close collaboration with the Peckforton Castle team.
- Enabled Peckforton Castle to host, build relationships and showcase the venue at its best without operational pressure.
5. The results.
